Managing Your Inbox and Activities

Overview

The Spok Go inbox displays all of the Spok Go activities that you are currently associated with. Activities are the fundamental unit of work in Spok Go, and they contain a variety of actionable content. See Working with Activities for more information.

New messages can be sent from the Spok Go inbox. See Mobile Messaging for more information.

Managing Your Inbox

Viewing Your Inbox

The Spok Go Inbox is your home screen and is displayed after signing into Spok Go. There are two different inbox views available in Spok Go.

  1. Inbox view: displays your new and current activities.
  2. Hidden Activity view: displays the activities that you've marked as "hidden'. See Hiding Activities for more information.

Changing Your Inbox View

  1. Tap inbox menu arrow mobile.png. The list of views is displayed.
  2. Tap on the desired view. The inbox displays the selected view.

Sorting Your Inbox

The activities in your inbox can be sorted by the date received. By default, your inbox is sorted with the newest activities listed first. The sorting drop-down menu button is labeled with the current sorting method. By default, the button is labeled Newest First.

  1. Tap the sorting drop-down menu label. The sorting drop-down menu is displayed.
  2. Choose the desired sorting method from the list. The activities are now sorted according to the selected method.

Using Inbox Filters

Filters allow you to customize how you view the contents of your inbox.

Filtering Your Inbox

  1. While viewing your inbox, tap Filters. The list of filters is displayed.
  2. Select the desired filter from the list, then tap Apply.

Resetting Inbox Filters

  1. While viewing your inbox, tap Filters.The list of filters is displayed.
  2. Tap Reset, then tap Apply. The filter is removed.

Searching Your Inbox

Hidden activities are not included in inbox search results.

  1. While viewing your inbox, click inbox search mobile.png. The search field is displayed.
  2. Start entering your search terms, e.g., first name, part of a word. As you type, the contents of the inbox will update to reflect your search.

Working with Activities

The inbox displays the activities that you're associated with.  See Spok Go Activity Types for more information. 

Viewing Activity Content and Details

  1. While viewing your Inbox, tap an activity in the Inbox list. The activity's content is displayed.
  2. Tap Activity Info Icon mobile.png. The activity's details are displayed.

Hiding Activities

Hiding an activity will remove it from the Inbox view.

Activities cannot be deleted from the inbox in Spok Go, however, hiding activities allows you to remove completed or resolved activities from your inbox view, while still being able to access and review them later using the Hidden Activity view.

Hidden activities are automatically unhidden and moved to the Inbox list when the activity gets an update.

Hiding an activity only affects your view of the activity, and will not change the activity's visibility for other staff members.

Hiding an Activity

  1. While viewing the Inbox list, swipe left on the activity to be hidden.
  2. Tap hide activity mobile.png. The activity is moved to the Hidden Activity list.

Viewing Hidden Activities

  1. While viewing your inbox, tap inbox menu arrow mobile.png . The inbox view drop-down menu is displayed.
  2. Tap Hidden Activity. The Hidden Activity inbox view is displayed.

Unhiding an Activity

Hidden activities are automatically unhidden and moved to the Inbox list when the activity gets an update.

  1. While viewing the Hidden Activity list, locate the activity to be unhidden.
  2. Swipe left on the activity and tap unhide activity mobile.png.

Changing the Hidden Status of Multiple Activities

  1. Set the inbox to the applicable view, e.g, if unhiding activities, change the inbox view to Hidden Activity. See Changing Your Inbox View.
  2. Tap and hold on an activity that will have its hidden status changed. Spok Go enters multiple selection mode. Checkboxes are displayed next to each activity in the list.
  3. Add checks next to each activity that will have its status changed.
  4. Tap unhide multiple mobile.png or hide multiple mobile.png. The selected activities are moved to the appropriate inbox list.
  5. Tap Done to exit multiple selection mode.

Setting Activity Read/Unread Status

Marking an Activity as Read

Unread activities are identified with a unread message mark.png. Clicking on an activity in the inbox sets the status to "read" and the unread message mark.png is removed.

 

Marking an Activity as Unread

  1. Swipe left on the activity to be marked as unread. The activity status tools are displayed.
  2. Tap open action menu mobile.png. The Actions menu is displayed.
  3. Click Mark as Unread. The activity is marked as unread.

Marking Multiple Activities as Unread

  1. Tap and hold on an activity. Spok Go enters multiple selection mode. Checkboxes are displayed next to each activity.
  2. Add a check to each activity to be marked as unread.
  3. Tap mark multiple unread mobile.png. Each activity is marked as unread.
  4. Tap Done to exit multiple selection mode.

 

Flagging Activities

Activities can be flagged, allowing you to mark certain activities as important and easily locate them in your inbox or find them later using filtering. See Filtering Your Inbox for more information.

Flagging an Activity

  1. While viewing the Inbox list, swipe left on the activity to be flagged.
  2. Tap flag activity mobile.png.

Unflagging an Activity

  1. While viewing the Inbox list, swipe left on the activity to be flagged.
  2. Tap unflag activity mobile.png.

Changing Flag Status for Multiple Activities

  1. While viewing the list of activities, tap and hold on an activity that will have its flag status changed. Spok Go enters multiple selection mode. Empty checkboxes are displayed next to each activity in the list.
  2. Add a check to each activity that will have its flag status changed.
  3. Tap flag multiple mobile.png or unflag multiple mobile.png to set the flag status of the selected activities.
  4. Tap Done to exit multiple selection mode.

Silencing Activities

Silencing an activity will prevent that activity from generating an audible notification tone when it receives an update or new message.

Silencing an Activity

  1. While viewing the Inbox list, swipe left on the activity to be silenced.
  2. Tap silence activity mobile.png.

Unsilencing an Activity

  1. While viewing the Inbox list, swipe left on the activity to be flagged.
  2. Tap unsilence activity mobile.png.

Changing Silencing Status for Multiple Activities

  1. While viewing the list of activities, tap and hold on an activity that will have its silencing status changed. Spok Go enters multiple selection mode. Empty checkboxes are displayed next to each activity in the list.
  2. Add a check to each activity that will have its status changed.
  3. Tap silence multiple mobile.png or unsilence multiple mobile.png to set the silencing status of the selected activities.
  4. Tap Done to exit multiple selection mode.

 

Spok Go Activity Types 

Activity Description
Chat A message received from a Spok Go user.
Notification A message received from an external system, e.g., Smart Suite.
Call Call information generated from a Spok Go Voice call.
Lab Result An alert containing a lab result.
Rad Result An alert containing a radiology result.
Order An alert containing order information.
Nurse Call An alert from a nurse call device.
Nurse Call Code A broadcast alert from a nurse call device.
