Sending and Receiving Messages

Spok Go Messaging uses the Chat activity type to enable Spok Go users to send and receive text messages and file attachments. Chats are one of several Spok Go activity types that appear in your inbox. See Managing Your Inbox for more information about working with chats and other activity types in Spok Go.

Starting a New Chat

  1. While viewing your inbox, click + New. A new chat message window is displayed.
  2. Click in the Members: field. The list of Spok Go users and other entities is displayed.
  3. Select the recipient to be added to the chat. Repeat until all recipients have been added.
  4. Click in the Subject: field and add a subject to the chat.
  5. (Optional) New chats have a default priority level of Normal. Change the priority level by clicking on NORMAL and choosing the desired priority level from the list.
  6. Click in the Message… field and compose the message.
  7. (Optional) Add an attachment by clicking attachment button web.png. Your computer will open a file browser that will allow you to locate the file and attach it to the message. See Adding Attachments to a Chat for more information
  8. Click send message web.png to send the message.

Adding Recipients to a New Chat

Adding a Recipient With Search

  1. While viewing the new chat message window, tap in the Members: field and begin typing the name of the recipient. A list of matching recipients is displayed as you type.
  2. Choose the recipient from the search results list. That recipient is added to the Members: field.

Adding a Recipient Using Favorites

  1. While viewing the new chat message window, locate the Favorites section. All of the potential recipients that you have favorited are displayed here.
  2. Choose the recipient from your favorites list. That recipient is added to the Members: field.

Adding a Recipient Using Recents

  1. While viewing the new chat message window, locate the Recents section. A list of potential recipients that you have recently interacted with are displayed here, with the most recent appearing at the top of the list.
  2. Choose the recipient from the Recents list. That recipient is added to the Members: field.

Replying to a Chat

  1. While viewing the chat, click in the Type your message field.
  2. Enter your message and click send message web.png to send it.

Using Quick Replies

Quick Replies are preset chat responses that allow you to quickly add a commonly used response to a chat message.

Creating a Quick Reply

Each Quick Reply has a 35 character limit and you can have up to 5 Quick Replies.

  1. While viewing an existing chat message, click quick reply icon web.png to display the Quick Replies toolbar.
  2. Click + Add Quick Replies. The Quick Replies window is displayed.
  3. Click + Reply. A text field is displayed.
  4. Enter the desired quick reply text.
  5. (optional) Continue to click + Reply and add quick replies until all desired quick replies have been added.
  6. Click Save.
  7. All available quick replies are visibile in the Quick Replies toolbar. To view the quick replies that are too long to all fit in the chat window, click Quick Reply Elipse Web.png. The remaining quick replies are displayed.

Adding a Quick Reply to a Message

  1. Click on an existing chat to view it.
  2. Locate the Quick Reply toolbar. The toolbar and all available quick replies are found above the Type your message field.
  3. Click on the desired quick reply to choose it. The quick reply is added to the Type your message field.

Editing a Quick Reply

  1. While viewing an existing chat message, click the quick reply gear web.png. The Quick Replies window is displayed.
  2. Locate the quick reply to be edited and make the desired changes.
  3. Click Save.

Hiding the Quick Reply Toolbar

You can hide and show the Quick Reply Toolbar by clicking quick reply icon web.png Icon.

Deleting a Quick Reply

  1. While viewing an existing chat message, click the quick reply gear web.png. The Quick Replies window is displayed.
  2. Locate the quick reply to be deleted and click CC_Close_X.PNG. The quick reply is removed from the list.
  3. Click Save.

Adding Members to a Chat

  1. While viewing the chat, click activity info icon web.png. The chat's Details window is displayed.
  2. Click Add Members. The Add Members window is displayed.
  3. Add new members to the chat by either typing the first few letters of the recipient's name and choosing them from the list of results or by choosing the new member from your Favorites list or Recents list. See ��Managing Favorites and ��Managing Recents for more information.
  4. Click on the name of the desired recipient to add them to the chat.

Forwarding a Chat Message

Spok Go messaging allows you to forward a specific part of a chat to another recipient.

  1. Hover your mouse over the response to be forwarded. The copy response ellipse web.png is displayed.
  2. Click copy response ellipse web.png and choose Forward from the action menu. A new chat window is displayed with the text and attachments that will be forwarded.
  3. Add members, subject, priority, and any additional content, and then click send message web.png to send the forwarded chat.

Copying a Chat Message

You can quickly copy a chat response to your computer's clipboard in order to send it to another Spok Go user.

  1. Hover your mouse over the part of the chat to be forwarded. The copy response ellipse web.png is displayed.
  2. Click copy response ellipse web.png and choose Copy from the action menu. The text is copied to your computer's clipboard.

Leaving a Chat

You can only leave a chat that has 3 or more members.

  1. Locate the chat in your inbox and click on it to display the chat history.
  2. Click activity info icon web.png. The chat's Details window is displayed.
  3. Click Leave Chat.

Working With Attachments

All attachments sent with Spok Go are encrypted, and photos received via Spok Go are only accessible when using the Spok Go application.

Viewing an Attachment

To view an attachment, your computer must have the software that can open the attached file. For example, your computer needs to have Microsoft Word installed to open Word documents.

  1. While viewing a chat with an attachment, click on the attachment. The file is downloaded to you computer and a preview of the attachment is displayed in the chat.
  2. Click the attachment preview. Your computer opens the file using the software associated with the attachment's file type.

Viewing All Attachments in a Chat

While viewing a chat, click activity info icon web.png. The Details window is displayed. This window displays all files and photos that have been attached to this chat over its history.

Adding Attachments to a Chat

Spok Go allows you to attach files from your computer to chat messages. See Supported Attachment File Types.

  1. When creating a new chat or replying to an existing chat, click attachment button web.png. Your computer displays a file browser.
  2. Using the file browser, locate and open the file to be attached. The file is now attached to the message.

Removing an Attachment

When viewing a chat with an attachment, click on theCC_Close_X.PNG next to the attachment. The attachment is removed from the message.

Supported Attachment File Types

Document file formats:

  • .DOC, .DOCX, .PPT, .PPTX, .XLS, .XLSX, .PDF, .TXT

Media file formats:

  • .AVI, .FLV, .WMV, .MP4, .MOV, .MP3, .WAV, .M4A

Image file formats:

  • .JPG, .PNG, .GIF, .IMG, .HDR, .NII, .MNC, .DCM.
