Patient Room and Bed maintenance by Spok Admin
If new patient bed or units are added or their phone extensions are modified, the changes must also be reflected in the IntelliDesk room/bed master. The patient room and bed maintenance are to be done by the menu under Spok Administration.
From the IntelliDesk Administration menu options choose Setup > PIM/PMS Interface > Room and Bed.
The table will display will all current information.
It is possible to search the table for a room. Simply click the icon or highlight the Room column, type a few letters and/or numbers of the room in question, and carriage return. The table will refresh to the first match of the string entered. Arrow up and down for one line at a time, page up and down or retype a new string to search again. Bed, Extension, and Station columns may be searched in the same way.
Additionally, IntelliDesk has the ability to support customers who have eliminated zero as the digit to dial the operator and use patient room extensions beginning with zero. Inform the Patient Interface Analyst if your site requires this flexibility.
Note : Multi-hospital sites must enable Directory Groups from the Tel Control Table on the ‘Features 1’ tab. Once enabled, the ability to enter a value in the ‘Location’ field will be offered.
Add a New Room
1. From the IntelliDesk Administration menu options choose Setup > PIM/PMS Interface > Room and Bed.
2. Enter the Room and Bed master from Administration.
3. Click the Blank Page Icon or type Ctrl+N to add a new room or click on the Blank Page Icon with a Pencil to edit. The following screen will display:
4. Tab between the following fields and enter the appropriate data.
Location is used for Multiple Hospital Sites. It is a reflective of the Directory Group location defined in AMCOM Administration’s Directory Group maintenance. Please see your Amcom Software Interface Analyst for details.
Station is the name given to unit (i.e. 3W, ICU, E6) which is visible in the ‘Status’ field of the IntelliDesk Directory.
Room is the room as sent to IntelliDesk by the Hospital Information System. It is visible in the “Userid” field of the IntelliDesk Directory together with the bed component.
Bed is the bed as sent to IntelliDesk by the Hospital Information System. It is visible in the ‘Userid’ field of the IntelliDesk
Directory together with the room component. The IntelliDesk logic places a hyphen between the room and bed for ease of reading.
Extension holds the phone extension associated with the room, bed or unit, as in the case of Nursery or ICU beds. IntelliDesk also provides the flexibility to handle extensions that begins with zero. Extensions, however, cannot be entered simply as zero nor can special characters, like a hyphen, be used in the definition.

No Information Room is the special handling indicator based on the room itself, not the patient in the room. Check this off if calls sent to this room require your telecom operators to follow a specific procedure (e.g. forward call to nursing supervisor or reply with a canned statement).
No Advanced Speech Recognition should be checked off if the room should not be handled via IntelliSpeech. The No Advanced Speech Recognition parameter may also be set at the record type level via Setup>IntelliDesk Settings>Record Type Colors. It is recommended the record types PIMDSG, PIMEXP and PIMNI be set to not allow IntelliSpeech to handle the calls.
Room Description field is used in conjunction with IntelliSpeech to provide directions to the appropriate area of the hospital. Please discuss this option with your IntelliDesk Speech Analyst.
5. Save the record by clicking on the Diskette Icon or pressing Ctrl+S.
6. Click on File>Close to exit the Room and Bed maintenance.
Modifying an Existing Room
1. From IntelliDesk Administration highlight the record to be edited. Click the pencil icon or type Ctrl+E. The following screen displays.
2. Place the cursor in the appropriate field and make desired edits.
3. Save the record by clicking on the Diskette Icon or pressing Ctrl+S.
4. Click on File>Close to exit the Room and Bed maintenance.
Nursing Station as an Alternate Extension
It is also possible to define the Nursing Station’s phone extension as an Alternate Extension. This can be seen on the Detail tab when using IntelliDesk Console or NoComm as well as on the Phone tab when using IntelliDesk Admin. This is accomplished via the Nursing Station Table.
1. From AMCOM Administration menu options choose Setup > PIM/PMS Interface > Nursing Station.
Note: You may ignore the remaining fields for the purposes of this definition. The table was built for speech-enabled information about and directions to the Nursing Stations. Visitation hours are also defined, allowing the Speech product to announce the limitations to the caller.
2. Click the Blank Page Icon or type Ctrl+N to add a new room or click on the Blank Page Icon with a Pencil to edit. Enter the Nursing Station mnemonic exactly as it is seen in the raw transaction data in the ‘Station’ field. Enter the corresponding phone extension in the ‘Extension’ field.
3. Save the record by clicking on the Diskette Icon or pressing Ctrl+S.
4. Click on File>Close to exit the Nursing Station maintenance.
Note: The changes in the room and bed master are to be reflected to the patient data in Spok immediately. If you see any delay in applying the changes in the patient record processing in Spok, you may be re-started the Spok PIM Processor. In addition, please remember that the Logic must see the new roombed come across in an admission or a transfer UNLESS the patient is NOT in the Directory. If the patient is already in the Directory, DELETE them via Administration and THEN have them send an A08 (Demographic Update) across to Intellidesk. It will be treated as an admission as long as there's no discharge date included AND the patient is NOT in the Directory.
