Organization Settings

Configure settings for Spok Go, including the supported calling protocol and SIP dialer.

Managing General Settings

Viewing General Settings

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click General Settings. The General Settings page is displayed.

Configuring General Settings

This section provides a description of the General Settings available for an organization in Spok Go.

Profile Picture Management

Enable to allow users to upload their own profile pictures.

  1. While viewing the General Settings page, locate the Profile Picture section.
  2. Click the toggle switch to the desired position. 
  3. Click Save.

Phone Numbers

Enable to allow users to update their own phone numbers.

  1. While viewing the General Settings page, locate the Phone Numbers section.
  2. Click the toggle switch to the desired position. 
  3. Click Save.

Phone Number Types

The Phone Number Types list contains all of the available descriptors that a user can choose to associate with a phone number.  

Spok Go is configured with 7 default phone number types.  These phone number types cannot be deleted from the list. See Default Phone Number Types to view the complete list.

Adding a Phone Number Type

Spok Go allows up to 20 phone types, including the 7 default types.

  1. While viewing the Phone Types list, click + Add Phone Type.  The Add Phone Type window is displayed. 

  2. Enter the name of the phone type to be added. 

  3. Click Save.

Editing a Phone Number Type
  1. While viewing the Phone Types list, click kebab next to the phone number type to be edited. The action menu is displayed.

  2. Click Edit. 

  3. The Update Phone Type window is displayed. 

  4. Make the desired changes to the name of the phone type. 

  5. Click Save.

Deleting a Phone Number Type

The 7 default phone number types cannot be deleted. See Default Phone Number Types to view the complete list.

  1. While viewing the Phone Types list, click kebab next to the phone number type to be deleted. The action menu is displayed.

  2. Click Delete.  

  3. Confirm the action by clicking Delete. The phone number type is deleted. 

In cases where the phone number type to be deleted has phone numbers associated with it, Spok Go will prompt you to associate the affected numbers with an existing phone number type.  Duplicate phone number types are allowed.  

For example, if the user already has a number with a phone number type of "home", and the affected number is given a phone number type of "home", the user will now have two numbers in their profile with a phone number type of "home". 

Default Phone Number Types

Spok Go is configured with the following default phone number types.  These phone number types cannot be deleted.

  • Answering Service
  • Assistant
  • Fax
  • Home
  • Mobile
  • Office
  • Work

User Information 

Enable to allow users to update their preferred name and aliases.

  1. While viewing the General Settings page, locate the User Information section.
  2. Click the toggle switch to the desired position. 
  3. Click Save.

Screen Sharing

Enable to allow users to share their screen or capture screenshots of the Spok Go mobile app for Android.

  1. While viewing the General Settings page, locate the Screen Sharing section.
  2. Click the toggle switch to the desired position. 
  3. Click Save.

Lock Screen Information

Enable to allow the Spok Go mobile app to display additional notification information on the lock screen.

  1. While viewing the General Settings page, locate the Lock Screen Information section.
  2. Click the toggle switch to the desired position. 
  3. Click Save.

Default Time Zone

Sets the default time zone for the organization

  1. While viewing the General Settings page, locate the Default Time Zone section.
  2. Click the drop-down menu and choose your organization's default time zone from the list.
  3. Click Save.

Language

Sets the default language for the organization.

  1. While viewing the General Settings page, locate the Language section.
  2. Click the drop-down menu and choose your organization's default language from the list.
  3. Click Save.

Web Session Timeout

Sets the amount of time that a user can be inactive before the session times out. Timeout should be a value between 15 and 600 minutes.

  1. While viewing the General Settings page, locate the Web Session Timeout section.
  2. Click in the text field and enter the timeout value in minutes.
  3. Click Save.

Message Retention Period

Sets the number of days that a message is retained in Spok Go. Retention period should be a value between 30 and 180 days.

  1. While viewing the General Settings page, locate the Message Retention Period section.
  2. Click in the text field and enter the retention period value in days.
  3. Click Save.

Managing Notification Settings

This section describes how to configure notification settings for your organization.

Viewing Notification Settings

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click Notification Settings. The Sounds & Haptics tab is displayed by default.
  4. Click the Reminder Notifications tab to view the Reminder Notifications settings.

Configuring Default Sounds and Haptics for the Organization

This section describes how to configure sounds and haptics for notifications based on priority level.

  1. While viewing the Sounds & Haptics tab, click the drop-down menu for the priority level to be configured.
  2. Choose a tone pattern from the list.
  3. (Optional) Repeat steps 1 and 2 for each additional priority level that requires a different tone pattern.

Configuring Personal Notification Sounds for Users

When Personal Notification Sounds is enabled allows users to choose their own notification sounds in their profile settings.

Click the toggle to enable or disable this setting.

Configuring Reminder Notifications

Reminder Notifications can be configured to send reminders to users when they have unread Chat or Notification activities in their inbox.  Chats are messages received from another Spok Go user. Notifications are messages received from an external system, e.g, a console or WCTP integration.

Adding a New Reminder Notification

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click Notification Settings.
  4. Click the Reminder Notifications tab.
  5. Choose the activity type that requires a reminder notification and click + Reminder Notification. The Add Reminder Notification window is displayed.
  6. Choose the priority level of the activity type that will generate reminders for the user. For example, a Chat Reminder Notification configured with a priority of Critical will send reminders to the user when they have an unread Chat message with a priority level of Critical.
  7. Set the reminder interval.
  8. Set the maximum number of reminders that get sent to the user.

    If no maximum number is set, the user will continue to receive reminders until the message is read.

  9. Click Save. The reminder configuration is added to the activity type's reminder list.

Editing a Reminder Notification

  1. Locate the Reminder Notification to be edited and click CC_kebab_icon.png.
  2. Choose Edit from the action menu.
  3. The Edit Reminder Notification window is displayed.
  4. Make the desired changes to the reminder configuration.
  5. Click Save.

Deleting a Reminder Notification

  1. Locate the Reminder Notification to be deleted and click CC_kebab_icon.png.
  2. Choose Delete from the action menu.
  3. Confirm your choice to delete the notification.

Managing Security Settings

Viewing Security Settings

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click Security Settings. The Security Settings page is displayed.

Configuring Native User Password Expiration

A native user's password expiration can be set between 30 to 730 days.

  1. While viewing the Security Settings page, locate the Native User Password Expiration section.
  2. In the text field, enter the number of days before a native user's password will expire.
  3. Click Save.

Configuring Two-Step Login Verification

Adding the Two-Step Login Verification Requirement to a Role

  1. While viewing the Security Settings page, locate the Two-Step Login Verification section.
  2. Click in the Require Two-Step Verification for the following roles: drop-down menu. A list of the roles in your organization is displayed.
  3. Choose the role that will require two-step login verification in the list and The selected role is added to the search field. The role is added to the 
  4. (Optional) Repeat the above step until all roles that will require two-step login verification have been 
  5. Click Save.

Removing the Two-Step Login Verification Requirement From a Role

  1. While viewing the Security Settings page, locate the Two-Step Login Verification section. 
  2. Click the clear text field mobile.png next to the role to be removed.
  3. Click Save.

Removing the Two-Step Login Verification Requirement From All Roles

  1. While viewing the Security Settings page, locate the Two-Step Login Verification section. 
  2. ClickCC_Close_X.PNG in the in the Require Two-Step Verification for the following roles: drop-down menu. 
  3. Click Save.

Enabling User Devices to Remember This Organization

Spok Go can be configured to allow user devices to remember the 3 most recent organizations they have been signed into, enabling a user to quickly switch between organizations.

  1. In Spok Go, navigate to Administration > Organization Settings > Security Settings and locate the Remember Organization section.
  2. Set the Remember my Organization ID to the desired position.
  3. Click Save.

Managing SIP Configuration

This section describes how to configure Spok Go with your organization's SIP settings to enable iOS devices to call numbers identified as SIP extensions on a voice over IP system.

The SIP caller application must be set up and the SIP dialer must be installed and working properly on the mobile device.

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click SIP Configuration
  4. In the SIP Protocol Identifier field, enter your organization's SIP multimedia communication protocol application. Work with your VoIP application vendor to get the appropriate identifier.
  5. Click Save.

Enabling and Disabling Spok Go Voice

  1. Click CC_Admin_icon.png.
  2. Click Organization Settings.
  3. Click Spok Go Voice.
  4. Click the toggle to enable or disable this setting.
